Welcome to Voxvaani Inc.("Voxvaani", "we", "our", or "us"). Voxvaani operates an advanced AI-powered voice automation platform facilitating outbound calls, voice broadcasts, custom interactive voice responses (IVRs), and smart telecommunication simulations.

This Privacy Policy details how we collect, protect, share, and utilize your personal information, telecommunication records, and voice payloads when you interact with our platform, website, API, or use our automation services. By using Voxvaani, you agree to the practices outlined in this policy.

2. Information We Collect

To deliver our services, we gather information that can directly or indirectly identify you or your end-users. This falls into several categories:

  • Account Credentials: Full name, email address, corporate entity name, job title, and phone number when you sign up or contact us.
  • Billing Details: Billing address, credit card references, and transaction histories. Note that payment details are safely stored via our PCI-compliant payment processors (Stripe).
  • Developer Logs & API Usage: Integration access tokens, API request headers, payload sizes, rate-limiting statuses, and IP addresses used to request access.
  • Telecommunication Metadata: Dial-in and dial-out numbers, call start and end timestamps, latency logs, carriers routing the voice calls, and call termination statuses.

3. Voice & Audio Processing (Special Provisions)

CRITICAL PRIVACY SAFEGUARDVoxvaani processes human voice audio records to convert speech-to-text (STT) and output artificial voices (TTS). We enforce state-of-the-art protections to guarantee your conversational integrity.

For our calling agents, IVRs, and broadcasts:

  • Live Streaming: Audio streams are processed in real-time. Transient audio payloads are automatically expunged from RAM immediately after transcription and response generation.
  • Call Recordings: We record call sessions ONLY when specifically instructed by you (the client) in your agent dashboard configurations or API calls. Recordings are stored in an encrypted format using AES-256 standard.
  • AI Training Opt-Out: We DO NOT use your live or recorded voice calls to train public or shared foundational LLMs. Any local fine-tuning requested is confined entirely to your isolated tenant database environment.

4. How We Use Your Information

Voxvaani leverages data for the following specific business operations:

  • Service Delivery: Routing VoIP phone calls, generating AI vocal replies, scheduling broadcasts, and operating interactive IVRs.
  • Platform Diagnostics: Monitoring latency, correcting STT/TTS transcript errors, and fixing packet loss.
  • Security Auditing: Protecting against spam calling, caller ID spoofing, fraudulent account practices, and checking compliance with regulatory guidelines.
  • Communications: Providing support, updates on software releases, and billing alerts.

Security is core to our voice engine. We implement high-grade structural safety protocols, including:

Advanced Encryption

Data is encrypted in transit using TLS 1.3 and at rest with AES-256 protocols.

Tenant Isolation

Logical network separation guarantees that no client data bleeds between server clusters.

Please note that while we implement robust safeguards, no method of transmission over the Internet is 100% secure, and we cannot guarantee absolute security.

6. GDPR & CCPA Rights

Depending on your physical location (such as the European Economic Area or California), you hold specific privacy entitlements:

  • Right of Access: You can request copies of the personal data we hold about you.
  • Right of Erasure ("Right to be Forgotten"): You can command us to erase records or voice history under specific conditions.
  • Right of Rectification: You can ask us to update or fix inaccurate user profiles.
  • Opt-Out of Sale or Share: Voxvaani does NOT sell, trade, or share your data with advertisers.

7. Data Retention & International Transfers

Voxvaani is headquartered in the United States. Information gathered via our calling system may be transferred to, and processed on, database clusters located in the US or other regions where our cloud partners reside.

We retain personal account records for as long as your service contract remains active. Telecommunication logs and call records are automatically archived or permanently purged after 90 days, unless configured otherwise in your custom retention policy rules.
